For our plan review services, building departments and other government customers are the controllers of the content submitted through our platform. Set4 acts as a service provider processing that content on their behalf, only on their instructions, and consistent with our agreement with them. If you are an applicant submitting materials to a building department that uses Set4, that department’s own privacy practices govern how your information is collected and used.
Information you provide to us
Contact information (name, email address); account credentials; communications you send to us (support requests, feedback, demo requests); documents and files you or your organization upload to our platform for plan review; payment and billing information.
Information collected automatically
Device and browser information (IP address, browser type, operating system); usage data (pages visited, features used, timestamps); cookies and similar tracking technologies; log data and analytics.
Information from third parties
Information from identity verification or business intelligence services; publicly available information about your organization.
We use the information we collect to provide, maintain, and improve our AI-powered plan review services; process transactions and manage your account; respond to your inquiries and provide customer support; send service-related communications; analyze usage patterns to improve our products; detect, prevent, and address security issues and fraud; comply with legal obligations; and evaluate and benchmark the performance of our services as described below.
We may use de-identified customer content internally to evaluate and benchmark the accuracy, performance, and reliability of our services — for example, measuring detection quality, identifying errors, and comparing model versions. We do not use customer content to train or fine-tune AI models without the customer’s express written consent, and we do not share customer content with third-party AI providers for use in training their models.
We do not sell your personal information. We may share your information with service providers (subprocessors) who assist us in operating our business, including hosting, infrastructure, analytics, payment processing, and customer support tooling; professional advisors such as lawyers, auditors, and insurers where necessary; law enforcement or regulators when required by law or legal process, or to protect our rights and the safety of others; and acquirers or successors in connection with a merger, acquisition, financing, or sale of assets.
We engage third-party service providers (subprocessors) to help deliver our services. A current list of our subprocessors is maintained on our Trust Center at trust.set4.io. We will provide reasonable advance notice through the Trust Center before engaging new subprocessors that process customer content.
We retain customer content (including documents, plans, and files uploaded to our platform) only as long as needed to provide our services, as directed by the relevant customer, or as required by applicable law. Government customers may have statutory retention obligations for permit and plan records, and we follow their instructions regarding retention and deletion of that content.
We retain account information, billing records, and other operational data for as long as your account is active and for a reasonable period thereafter to meet legal, tax, accounting, and security obligations. When information is no longer needed, we securely delete or de-identify it.
We implement appropriate technical and organizational measures to protect your personal information, including encryption in transit and at rest, access controls, and regular security assessments. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security. In the event of a security incident affecting your personal information or customer content, we will notify affected customers without undue delay and consistent with applicable law and our contractual commitments.
